How to Set Your Freelance Hourly Rate: A Simple Formula That Covers Costs
⚡ Executive Brief & Key Takeaways
  • Primary Signal: How to Set Your Freelance Hourly Rate: A Simple Formula That Covers Costs
  • Overview: Most freelancers price by copying competitors and then wonder why they are busy and broke. This formula starts from your costs and your time, so the rate actually sustains you....
  • Verification: Analyzed and compiled by FreeSky Remote editorial monitoring desk.

Ask a freelancer how they set their rate and you will usually hear one of two answers: they copied a competitor, or they picked a number that felt brave. Both methods produce the same problem: a rate that looks fine on a good month and collapses on a bad one, because it was never tied to costs, taxes, or the hours you can actually bill. A simple formula fixes that.

Begin with your target annual income, the amount you need to live on, not the amount you hope to earn. Add your business costs: software, equipment, internet, insurance, and a buffer for quiet months. Then add tax. Freelancers pay tax on their income and often miss that a salaried employee's tax was partly hidden from them; as a freelancer, the whole bill is yours to plan for. The total is your real annual target.

A common mistake is using your old salary as the target without adjusting. A salaried job came with paid holidays, sick leave, pension contributions, and equipment. Freelancing provides none of those automatically, so your target must be higher than your old salary to deliver the same standard of living. Add at least 25 to 30 percent for benefits and downtime before you go further.

Raising rates with new clients is easy; raising them with existing clients feels risky, and most freelancers avoid it until resentment builds. The better approach is a planned, annual conversation: give existing clients notice of a month or more, explain briefly that your costs and expertise have grown, and frame the new rate as the price of continued service, not as a negotiation. Clients who value your work usually accept, because replacing you costs them far more than the increase.

If a client refuses, you have a decision, not a disaster. You can keep them at the old rate with reduced scope, transition them to a smaller package, or part ways professionally with a handover period. What you should not do is keep the old rate silently while resenting the work, because that resentment leaks into quality and eventually costs you the client anyway. A rate conversation, handled calmly, usually strengthens a client relationship rather than ending it.
